Privacy Policy
Effective October 15, 2026. Updated October 16, 2026 to describe our online quote request form. This Privacy Policy explains how HeatNox, a brand of Kexova LLC, a Texas limited liability company (“Kexova,” “HeatNox,” “we,” “us”), collects, uses, shares and protects personal information when you visit heatnox.com, contact us, or use our window film quoting, installation and service. We have tried to write it in plain language. If something is unclear, contact us.
1. What this policy covers
This policy applies to information we collect through this website, by phone, by email, and in person when we quote, install or service window film at your property. It does not apply to other websites we link to, including kexova.com and radiantnox.com, which have their own policies.
2. Information we collect
Information you give us
- Contact details: your name, phone number, email address and the address of the property.
- Project details: the number, size and type of your windows or doors, the kind of glass, your goals (such as heat, glare, fading, privacy or safety), measurements, and any photos or notes you send.
- Job records: quotes, signed agreements, scheduling, access instructions, installation records, warranty records, invoices and payment records, and messages about your job.
- Anything else you choose to tell us when you call, email or meet us.
- Online quote request form: your name, phone, email, city or ZIP code, the number of windows, your goal, the type of glass, the best time to reach you, any notes, and your consent to be contacted. When you submit the form we also record the page you sent it from and a scrambled (hashed) version of your IP address, which we use to spot duplicate requests and abuse. We do not keep your raw IP address in the form database.
Information collected automatically
When your browser loads this site, our hosting provider and the services that deliver the site’s content receive technical information such as your IP address, browser and device type, the pages requested, the date and time, and the page that referred you. Hosting providers keep this in server logs for security and operation of the site. The site and its software may also set technical cookies needed to deliver and secure it.
Information from others
We may receive information about your job from installers, subcontractors and service providers who work with us, and from our payment and accounting tools when you pay an invoice.
What not to send us
This website has no sign-up, account or checkout forms and does not take payments. Please do not send payment card numbers, bank details, government ID numbers or health information by email or in photos. If photos of your home show people, documents or personal items, please crop them out first.
3. How we use information
- To answer your questions, prepare quotes and estimates, and recommend a film for your glass
- To schedule, install and service film, and to honor any warranty
- To communicate about your job, including reminders and follow-up
- To prepare invoices, take payment, keep accounts and file taxes
- To keep our site, systems and customers secure, and to prevent fraud and abuse
- To meet legal, insurance and regulatory obligations and to resolve disputes
- To improve this website and our services
We do not send marketing messages unless you ask us to or have an existing customer relationship with us, and you can opt out at any time. We do not use your information for automated decisions that have legal or similarly significant effects on you.
4. How we share information
We share personal information only as needed to run the business:
- Cloudflare, which receives and temporarily stores your quote request when you use our online form, and runs the spam check on that form, until we collect it into our customer system.
- Service providers that help us with website hosting, email, customer and job management, scheduling, electronic signatures, accounting and payment processing. They may use the information only to provide services to us.
- Installers and subcontractors who work on your job, limited to what they need to do it.
- Professional advisers and insurers, such as accountants, lawyers and insurance providers.
- Authorities and others when the law requires it, to enforce our rights, or to protect safety.
- A buyer or successor if our business or a brand is sold, merged or reorganized, subject to this policy.
- Anyone else, with your consent.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising or sell sensitive personal information.
5. Cookies, analytics and third-party content
We do not use advertising cookies or ad trackers on this site. We use Cloudflare Web Analytics, a privacy-focused service, to count visits and see which pages work well. It records page views, the page that referred you, browser and device type, and approximate location. We do not use it to build profiles of individual visitors, to show ads or to sell data, and we do not link it to your quote request. Cloudflare handles that data under its own privacy policy. Some content loads from other providers: fonts load from Google Fonts, and some photo credit links open sites such as Unsplash, Pexels or Pixabay. When your browser loads content from these providers, they receive your IP address and browser details and handle them under their own policies. Videos on our Gallery page are hosted on our own site. Our quote form uses Cloudflare Turnstile to tell people from automated bots. When the form loads, your browser connects to challenges.cloudflare.com, and Cloudflare receives your IP address and browser details to run that check, under its own privacy policy.
Do Not Track and Global Privacy Control. Because we do not track you across websites or sell or share your information for advertising, there is nothing for those signals to turn off. We treat a Global Privacy Control signal as a request to opt out of sale or sharing, which we do not do.
6. Calls, texts and email
If you call, text or email us, we use your number or address to reply and to carry out your job. We do not send automated marketing text messages. If we ever record a call, we will tell you at the start of the call. To reduce spam, our phone number and email address appear on this site as images; this is not a security feature, and you should not treat it as one.
7. How long we keep information
- Quote requests that do not lead to a job are deleted within 12 months. Requests sent through our online form are held in Cloudflare only until we collect them, and are automatically deleted there after 12 months at the latest.
- Customer, job and warranty records are kept while we have a job or agreement with you and then as long as needed for tax, accounting, insurance and legal purposes, which is typically up to seven years after our last transaction.
- Website server logs are kept by our hosting provider for the period it sets.
When we no longer need information, we delete or anonymize it.
8. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS) on this site and access controls on our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affects your information, we will notify you and the authorities as the law requires.
9. Your privacy choices and rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is wrong;
- delete your personal information, unless we must keep it by law or to complete or support a job or warranty;
- stop contacting you for marketing.
Depending on where you live, you may also have rights to opt out of targeted advertising, the sale of personal data and certain profiling. We do none of these. We will not treat you differently for exercising your rights.
How to make a request. Use the details on our Contact page and tell us what you want. We may need to confirm your identity first. You may use an authorized agent, and we may ask for proof of their authority. We respond within 45 days, and if we need more time we will tell you why and may extend once by up to 45 days. If we decline a request, you may appeal by replying to our decision, and we will respond to the appeal within 60 days.
Privacy laws, such as the Texas Data Privacy and Security Act, apply to some businesses and not others, depending on size and activities. Whether or not a particular law applies to us, we follow the practices in this policy and will honor reasonable requests.
10. Children
This website is for adults who own or manage property. It is not directed to children, and we do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it.
11. Links to other sites
This site links to other websites, including kexova.com, radiantnox.com and stock-media sites. We do not control them and are not responsible for their privacy practices. Please read their policies.
12. Where information is processed
We operate in Texas and process information in the United States. By contacting us you understand your information will be handled here. Some of our service providers, including Cloudflare, operate networks in many countries, so technical processing of your information may also happen outside Texas.
13. Changes to this policy
We may update this policy. We will post the new version here with a new effective date. If a change is significant, we will make it clear on this page.
